Subject: Expression of Interest for Event Management Services

We are inviting proposals from reputed event management providers to support the organization of our upcoming conference, scheduled to take place from 1^st  to 3rd March 2025 in Pokhara. The event focuses on promoting inclusive education and accessibility for people with deafblindness.  The services required are detailed below:

Event Management Requirements

1. Audio-Visual Setup:
   • One large digital screen (8 ft. x 16 ft.) for presentations and visual displays.
   • Two video cameras with operators to capture the sign language interpreters and display them on the digital screen.
   • One/two monitors at the front of the dais for presenters to view their presentations.
2. Branding and Publicity Materials:
   • Two large gates with branding for the main entrances of the conference venue.
   • Approximately 15-20 banners for event branding and publicity.
3. Stalls Setup:
   • 10 stalls to showcase technology and other exhibits, each equipped with:
     • Canopy tent.
     • Table and chairs.
     • Reliable electricity supply.
4. Photography and Videography:
   • One professional photo camera with a dedicated photographer.
5. Additional Requirements:
   • On-site technical support to manage audio-visual equipment and other logistical needs.
   • Coordination and installation of all materials as per the event schedule.

Submission Guidelines

Interested event management providers are requested to submit a detailed proposal, including:

• Specifications and details of the equipment and services offered.
• Proposed designs for gates, banners, and stalls.
• Team structure and experience in handling similar events.
• Cost breakdown for all requested services.
• Terms and conditions for service delivery and payment.
