Subject: Expression of Interest to Organize a Conference in Pokhara

Dear service providers,

We are pleased to invite your esteemed venue to express interest in hosting our upcoming conference, scheduled to be held from 28th February to 3rd March 2025 in Pokhara. The conference will focus on promoting inclusive education and accessibility for people with deafblindness. We require a venue and associated services that meet the following specifications:

Venue and Accommodation Requirements

1. Conference Halls:
   • One large hall with a seating capacity of 300-350 people.
   • Two small halls, each with a seating capacity of 50 people.
   • All halls must be accessible, ensuring compliance with disability-friendly infrastructure and design standards.
2. Accommodation:
   • Accommodation for participants for 4 days (28th February to 3rd March 2025).
   • Room requirements:
     • Single occupancy rooms.
     • Double occupancy rooms.
     • Triple occupancy rooms.
   • The rooms must be comfortable, well-maintained, and easily accessible.
3. Catering Services:
   • Provision of meals and refreshments for all participants during the conference:
     • Breakfast, lunch, evening snacks, and dinner for 4 days.
     • Dietary options to cater to diverse needs (vegetarian, non-vegetarian, special dietary requirements).

Additional Requirements

• Reliable Wi-Fi connectivity in all halls and accommodation.
• Audio-visual support and technical equipment (e.g., microphones, projectors, screens) in the conference halls.
• Adequate parking facilities.
• On-site support staff for logistics and troubleshooting during the event.
• Safety and security measures for all attendees.

Submission Guidelines

We request you to submit your detailed proposal, including the following information:

• Venue details.
• Accessibility features of the halls and accommodation.
• Room categories, availability, and rates.
• Menu options for meals and refreshments.
• Additional services and facilities provided.
• Total cost estimate and payment terms.
